How to Write a Perfect Sales Email

Writing a business email is not an easy task, and that too if it is a sales email.

So, how could one find the right method or tactic to develop a perfect sales email?

As we have also experienced, a sales email can be distracting if not drafted properly. The same pitching style for promoting the product can turn off many customers. Most of the emails are deleted or sent to the spam folder by the recipient without a second thought.

It should be acknowledged that before developing an email template, a marketer should never lose the focus from the main points:

Starting Note:

In the present scenario, what holds your attention is called good marketing. A starting subject line has the power to make or break the connection with the customer. So, it is necessary to have a powerful subject line that is pleasant and can make an instant connection with the recipient. When at the beginning itself, you make the connection with the reader, then at the later stage, he develops an interest to read your email till the end.

Call-To-Action:

A call-to-action is necessary and should never be forgotten. While sending an email to the prospect, you would have one goal in your mind, i.e., to generate business opportunities. So, make the CTA clear with a precise message to push the customer for taking the right action.

Some of the best sales email templates:

1. Congratulating:

Example

Hey [Prospect],

Congratulations on your recent round of funding.

What you are doing is going to impact the law profession in a major way.

I look forward to seeing how you’ll deploy your new resources to do it even faster.

Regards
[Your Name]

Congratulating your prospects on their achievement can work in a significant way. Flattery works in most of the cases.

It’s basic human nature when a person gets appreciated for their achievement, they develop an urge to communicate with the other person. You can practice this tactic and take the communication forward for closing the deal

2. Providing Immediate Value:

Most of the customers need the immediate value from the service. Just try providing some value that can enrich the customer experience. It can be something as simple as your expertise.

Example

Hey [Prospect],

Your website’s design is absolutely brilliant. The visuals really enhance your message and the content compels action. I’ve forwarded it to a few of my contacts who I think could benefit from your services.

When I was looking at your site, though , I noticed a mistake that you’ve made i.e., search engine optimization. It’s a relatively simple fix. Would you like me to write up so that you can share it with your web team? If this is a priority, I can also get on a call.

Regards,
[Your Name]

Your expertise in understanding the errors or shortcomings in the customer’s product should not sound much critical. As you can see in the above email, it is mentioned it’s a simple fix to avoid customers getting annoyed.

3. Do Not Hesitate To Approach A Stranger:

Many times if the prospect is a stranger, then the marketer finds it difficult to develop an email template that would motivate the customer in taking the right action. One should never lose hope in such a scenario, and approach these prospects with a perfect email template. Try going out of the way and develop an email that would even compel a stranger for CTA.

Find the email template below to get a better idea:

Example

Hi [Prospect Name],

I’ll keep this short and sweet to make the 26 seconds it takes to read this worth your time (yes, I timed it.)

As a [job title] at [company], I get to speak with people like you about [achieving X]. [Prospect company] is on my radar because we’ve helped a lot of companies in [X space] with [business area].

Could we schedule a 15 to 20-minute call to discuss your strategy for Y — what excites you, which challenged you see, and how you envision your plan changing down the road? Even if you decide not to continue the conversation after our call, you’ll leave with some advice for [business area] that will make an immediate impact.

Best,
[Your Name]

4. Email Has Been Opened, But They Never Replied Back:

This is quite disheartening as a marketer when the emails get opened by the recipient, but there is no reply. Such scenarios need immediate attention, and emails need to be developed for motivating such readers to reply back.

The majority of the population has a short attention span; even if they opened the email, they could not sustain their attention for a longer period to read the email. As a marketer, one should use GIFs, comic strips, and other images to keep the reader interested. Make the message short and crisp with just 50-65 words with a concise CTA.

Example

Helping your team accomplish X

Following up on my last email, I wanted to see if [increasing X, decreasing Y] was something you’d be interested in discussing.

[Company] offers tools for [business area] that include the following:

• [Feature #1 and why it’s helpful]
• [Feature #2 and why it’s helpful]
• [Feature #3 and why it’s helpful]

I’d be happy to give you a brief walk-through of the tools so you can evaluate whether there might be a broader application to leverage these tools at your company.

What do you think?

Regards
[Your Name]

5. The Rapport Builder:

Example

Hey Casey,

I noticed you and I both are members of the Green Movement on Linkedin, and that you just opened a new office in Austin. Since you’re an Austin local now and share similar ideologies on clean technology and sustainability, I was curious if you’d be interested in attending our Growth Marketing Conference in December.

One of the keynote speakers is a world-renowned B2B marketer and fellow green energy philanthropist. The conference starts on December 11th in San Francisco. Should I send you a registration form?

Warm Regards
[Your Name]

The above email template is a perfect rapport builder template where you can build a good rapport with the potential customer. Similar interests, common connections, shared experiences helps to break the ice and initiate a useful conversation with the customer.

Conclusion:

As a marketer, you should keep in mind that a carefully planned and designed email template can make the right impact and help in connecting with the right audience. When the response rate from the customer is dwindling, a marketer should stop and think a while for developing emails, that could build a long-lasting relationship with the customer and generate huge revenue in the future.
